How to

Check the year's receipts before they go out

How to see every family's tax receipt for the year, enter the school's figures that decide parents' receipts, fix anything held, and compare with last year's spreadsheet.

Before the year's tax receipts go out, Core1440 shows every family's receipt as it would be issued, worked out from the gifts, children at the school and tuition you've recorded. Nothing is issued from this screen: it's for checking.

Steps

  1. On the home page, press Year-end receipts.
  2. Press Receipts for the year, for example Receipts for 2026.
  3. If your church runs a school, fill in The year's figures from the school's statements (see below), then press Save the figures.
  4. Read Things to look at and fix each one. Each name opens the household.
  5. Check Each family: what they gave, the school's share for parents, and what can be receipted.
  6. Press See the draft beside a family to see their receipt exactly as it would print, marked as a draft.
  7. Press Open the full review for everything on one page, to print or save for the accountant.

The year's figures

Only needed for a church that runs a school. They decide how much of a parent family's giving pays for their children's schooling, which the CRA says can't be receipted (IC75-23).

  • The school's operating cost for the year, from its statements.
  • Share for religious and moral instruction, from the timetable, for example 12%. That part of the cost isn't counted.
  • Months the school teaches, usually September to June.
  • Amounts set against the school's cost: money that isn't a gift and pays toward the school, like rent or fundraising. Untick Counts for an amount you're keeping for the record but not using.
  • Date the receipts will be issued.

When a receipt is held

A receipt is held, not issued, when something it must show is missing. Most often it's the mailing address: open the household and add it under Change the name or address. See Add and update households.

Bring the year in from the spreadsheet's files

For the first year, instead of entering a whole year of gifts by hand, bring them in from the spreadsheet:

  1. Save each sheet as a CSV file with these column headings: | File | Columns | |---|---| | donors.csv | givingunitid, receiptname, sortname, address1, address2, address3, email | | gifts.csv | giftid, givingunitid, receivedon, amount, category, schooldesignated | | students.csv (if there's a school) | studentid, givingunitid, frommonth, tomonth | | tuition.csv (if there's a school) | givingunitid, receivedon, amount | | compare.csv (optional) | givingunitid, expectedreceiptable | Dates look like 2026-03-01 and months like 2026-09. A blank tomonth means still enrolled.
  2. Open Bring the year in from the spreadsheet's files, choose each file, and press Bring the files in.
  3. If anything in the files can't be read, nothing is saved, and each problem is listed with its file and line. Fix them and try again.

Donors whose name matches a household already here are added to it, even written another way ("Bergen, Helen" and "Helen Bergen"); the rest become new households.

To bring corrected files in, press Remove these files first. Everything they added is taken out, unless it's already on a receipt or in a deposit.

Compare with the spreadsheet

For the first year in Core1440, check it against the spreadsheet you used before. If you brought the year in with a compare.csv, this is done already. Otherwise:

  1. In the spreadsheet, save the results sheet as CSV, with a Name column and a Receiptable column.
  2. Open Compare with the spreadsheet, choose the file, and press Compare.
  3. Every family where the two differ shows under Things to look at.

Expect some differences, and explain each one:

  • Core1440 counts each child's actual months at the school, and credits tuition to the family that paid it. Spreadsheets often use half-years or pool tuition, so families with a partial year or tuition can differ.
  • A gift, date or month recorded differently in one or the other.
  • A mistake in either. Tell us about it with Ask for help.

Names that don't match a household are listed; check the spelling.

Good to know

  • Everyone who can see gifts can see this screen; only an owner or treasurer can change the figures or bring in the spreadsheet.
  • Gifts already on an issued receipt aren't counted again.
  • The receipt numbers in the drafts are the next ones free, as a guide.
  • This screen works for charities whose year ends on December 31.
  • For children and tuition, see Record children at the school, and tuition. For how receipts work, see Official tax receipts: the basics.
