How to
Bring in donors from QuickBooks
How to turn the gifts QuickBooks recorded with a donor's name into households and gifts ready for tax receipts, when names are written differently, and what to check afterwards.
If your church recorded who gave in QuickBooks (each donation with the donor's name as the customer), those gifts can come across as gifts for each donor's household, ready for tax receipts. They're in the books already from the import, so they're never deposited again.
Steps
- Bring the QuickBooks file in first. See Bring your books in from QuickBooks.
- When it's done, press Bring in donors. (Or open Books, then Bring in from QuickBooks, then the import.)
- Check the list. Each donor shows how many gifts they gave and the total.
- For each donor, check Household for them:
- A new household makes one with the name from QuickBooks.
- A name under Households already here adds the gifts to that household. One with the same name is chosen for you.
- A name under The same donor as puts them with another donor in the list, for example "J. Smith" with "John Smith".
- Leave out skips them, for example "Loose offering" or "Anonymous".
- Press Bring in. The button says how many gifts.
When names are written differently
QuickBooks often has the same donor several ways. Names that differ only in order, punctuation, "and" or "&", or "family" are put together for you: "Smith, John" and "John Smith" show as one donor, "also written Smith, John". Anything else, like a nickname or initials, use The same donor as.
Afterwards
- Add mailing addresses. QuickBooks' Journal doesn't include addresses, so new households have none. Open Households and add each one; a receipt needs it. See Add and update households.
- Check the school part. If any gift was partly for the school, open it and record that part. See Record gifts from the offering or the mail.
- Gifts without a name (Sunday totals) stay in the books but aren't anyone's gifts. Record those donors' gifts on Gifts if you know them.
Good to know
- Only gifts to income accounts that hold receipted gifts come across. If one is missing, open Which income accounts hold receipted gifts, tick it, and press Look again.
- Each gift comes across once. Doing this again only adds what's new.
- The gift's category is the fund it's in, for example Building.
- A gift from QuickBooks keeps the amount and date the books have.
