How to
Record children at the school, and tuition
How to record each child's months at the school and the tuition a family paid, why they matter for parents' tax receipts, and how to fix them.
If your church runs a school, a parent family's tax receipt depends on how many months their children were at the school and how much tuition they paid. The CRA's rules (IC75-23) treat part of a parent's giving as paying for the school, so that part can't be receipted. Core1440 works it out at year end from what you record here.
Steps
To add a child:
- Open Households, then the family.
- Open Children at the school, then Add a child at the school.
- Type the Child's name.
- For First month enrolled, choose the month and type the year, for example September and 2025.
- If they've left, fill in Last month enrolled the same way. Leave it blank while they're still at the school.
- Press Add the child.
Which months count
Use the months the school's records show the child enrolled. For a child who started or left part-way through a month, the school decides which months to record. Only the school's teaching months for the year count, which are set at year end.
When a child leaves or comes back
- Leaves: under the child, open Change these months, fill in the Last month, and press Save the months.
- Comes back later: open (name) came back after leaving, fill in the First month back, and press Add the months.
- Months can't overlap. If they do, Core1440 says so; change the months already there instead.
Record tuition
- On the family's page, open Tuition in (the year).
- Choose the Date received and type the Amount.
- Press Record the tuition.
To fix a mistake, press Remove beside it and record it again.
Good to know
- Tuition is never a gift and never goes on a receipt.
- A family with a child at the school can't designate part of a gift to the school; the gift form won't offer it.
- See Official tax receipts: the basics for how receipts work.
