How to
Record gifts from the offering or the mail
How to enter each gift for a day, check the totals against your deposit slip, and fix a gift entered by mistake.
Record each gift against the household it came from, so each family's tax receipt adds up. Enter a day's gifts together, then check the totals against the deposit slip.
Steps
- On the home page, press Record gifts.
- Check Gifts received on shows the day the gifts came in. To record another day, change the date and press Show.
- For each gift:
- Choose who it's From. If they're not in the list, press Add the household first. See Add and update households.
- Type the Amount, for example 50 or 25.50.
- Choose How it came in: cash, cheque, e-transfer, card or other.
- What it's for is usually General. Change it for gifts to a fund, for example Missions or Building fund.
- Add a Note if useful, for example the cheque number.
- Press Save the gift. The form clears and keeps how gifts came in, ready for the next one.
- When you're done, check Recorded so far. The totals by cash, cheque and so on should match your deposit slip.
- When the gifts go to the bank, press Make a deposit so they're in the books too. See Deposit gifts so they're in the books.
If a gift was entered by mistake
- Find it in the list under Recorded so far.
- Press Remove, then Yes, remove it.
- Enter it again correctly.
A gift that's already on a tax receipt can't be removed. To correct it, the receipt has to be cancelled and replaced first.
A gift that's in a deposit can't be removed either. Undo the deposit first (see Deposit gifts so they're in the books), then remove the gift and deposit again.
Good to know
- Enter each cheque separately, even when several come from one family. The cheque numbers then match the deposit.
- Count cash with two people, and both sign the count sheet. See Good practice for counting and recording gifts.
- Of this, for the school only shows if your church runs a school. Use it only when the giver asked for part of the gift to go to the school.
- Accountants and auditors see the gifts and totals but can't change them.
