AI help with the books

What AI help with the books does, exactly what it sends and to whom, how an owner turns it on or off, and how people stay in charge of everything it suggests.

AI help with the books lets someone keeping the books ask Claude, an AI made by Anthropic, to do slow work for them. It's off until an owner turns it on.

What it can do

  • Read a PDF bank statement that Core1440 can't read itself, like a scan. See Bring in your bank's file and sort it.
  • Prepare a bank reconciliation: match the bank's transactions to entries, tick what has cleared, and suggest entries for what's missing, like bank fees.

What's sent, and to whom

  • Only what the task needs, and only when someone presses the button: the PDF statement, or for a reconciliation, the bank's transactions, the entries not yet ticked, and the names of your accounts and funds.
  • It goes to Claude. Anthropic processes it in the United States, doesn't keep it, and doesn't train its AI on it.
  • Households and gift records are never sent. Bank transactions can include names, like who sent an e-transfer.

People stay in charge

  • AI only suggests. Nothing goes into the books until a person checks it and presses the button themselves.
  • AI never finishes a reconciliation, makes an entry or locks a year.
  • Every suggestion is kept: what was suggested, who asked, and whether it was brought in or not. Anything AI read is marked Read by AI.

Steps

Turn it on

Only an owner can do this.

  1. On the home page, press Settings.
  2. Under AI help with the books, read what's sent and to whom.
  3. Press Turn on AI help with the books.

Turn it off

  1. On the home page, press Settings.
  2. Press Turn off AI help with the books.

Nothing more is sent from then on. What was already brought in stays, and so does the record of what AI suggested.

Good to know

  • If Settings says Core1440 isn't connected to Claude yet, AI help won't work even when it's on. Tell your Core1440 contact.
  • Asking for help with Core1440 itself, under Help, is separate: it never sends anything from your books. See Find help.
