When a cheque is returned (NSF)
What to do when the bank returns a donor's cheque, so the books and the donor's receipt stay right.
Sometimes the bank returns a cheque, for example because there wasn't enough money in the account. The gift didn't happen, so it mustn't be receipted.
What to do
- If the gift isn't on a receipt yet, remove it in Core1440. Find the day it was recorded under Record gifts, then press Remove on that gift. See Record gifts from the offering or the mail.
- If it's already on a receipt, the receipt must be cancelled and a new one issued for the right total. Never edit a receipt that's been sent.
- Record any bank charge for the returned cheque as an expense, in Interest and bank charges.
- Contact the donor kindly. Most returned cheques are a simple mistake. If they give again, record the new gift on the day it arrives.
