How to
Correct a mistake in an entry
Why entries can't be edited, and how to reverse a wrong entry and make the right one.
Entries are never changed or deleted, so the books always show what was done and when. That's what auditors expect. To fix a mistake, you reverse the wrong entry and then make the right one.
Reversing makes a new entry with every debit and credit swapped, so the two together come to nothing.
Steps
- Open Books, then the books, then Entries.
- Press the entry that's wrong.
- Open Reverse this entry.
- Choose the Date of the reversal. Use the same date as the wrong entry if its year is still open, so the month's reports come out right. Otherwise use today.
- Press Reverse this entry.
- Press All entries, then Make an entry, and enter it correctly. See Make an entry in the books.
Good to know
- The wrong entry now says it has been reversed, with a link to the reversal, and the reversal links back.
- An entry can be reversed only once, and a reversal can't itself be reversed. If you reversed the wrong one, make the entry again.
- If the entry's year is locked, date the reversal in the open year, or ask to have the year unlocked; see Lock a year when its books are final.
- Entries brought in from QuickBooks are corrected the same way.
- An entry's page shows Where it came from: its deposit, bank transaction or QuickBooks import, each with a link. See Read your reports, and drill down to any amount.
