How to
Read your reports, and drill down to any amount
How to read the statements by fund, month by month, against last year, the general ledger and giving, and how to drill down from any amount to the entries and gifts behind it.
Reports show each fund in its own column, with a total, in the layout churches report to their board and members. Every amount can be opened to see what makes it up.
Steps
- Open Books, then your books, then press Reports.
- Choose a report along the top:
- Statements: income and expenses, how each fund changed, what's owned and owed, and the trial balance;
- Month by month: each income and expense account, a column per month;
- Compared with last year: this year, last year and the change;
- General ledger: every account's entries, with running balances;
- Giving: gifts by what they were for, and by household.
- Choose the Year (and, where offered, a Fund) and press Show.
- To see what makes up an amount, press it (or double-click it). See below.
- Press Print, or Download as CSV to open it in a spreadsheet.
Drill down to the source
Any underlined amount opens the next level down:
- A report amount opens that account's entries for the period. From a fund's column, only that fund's part.
- An entry's amount (or what it's for) opens the entry, with all its parts.
- On the entry, Where it came from shows its source, each with a link:
- the deposit and the gifts in it (and from there, each household);
- the bank's transaction it was matched to or made from;
- the QuickBooks import it came in with;
- the gifts recorded from it.
- Each part of an entry opens that account's entries for the year.
On an account's entries, change From, To or Fund and press Show to look at other dates or funds.
The statements
- Income and expenses: what came in and went out during the year, and the difference (the statement of operations).
- How each fund changed: each fund's balance at the start, the year's result, transfers between funds, and the balance at the end.
- What's owned and owed: assets, liabilities and fund balances at year-end (the statement of financial position).
- Trial balance: every account's balance, all funds together. Its two totals are always equal.
Good to know
- Funds are never "closed off" at year-end. Last year's result is part of this year's opening fund balances.
- Giving shows what gifts were for, as recorded. Who gave what shows only to people who can see gifts.
- CSV downloads start with the report's name, the dates and the day it was run, for the auditor's file.
- If a fund's figures ever don't agree, the page says so at the top. That shouldn't happen; tell whoever looks after your Core1440.
- Auditors and accountants can read every report.
